Position Summary

The Shipping Logistics Specialist will schedule and coordinate domestic and international air, sea, and land freight transactions, prepare freight quotes, shipping documents, ensure freight transactions are selected based on company objectives for cost and delivery, prepare and review Import and Export documentation and oversee export filing requirements. Additionally, the Shipping Logistics Specialists must also interact with internal and external customers and their systems and software.

Principal Activities

  • Schedule and coordinate international air, sea, and land freight transactions
  • Ensure adherence to the CIRCOR Compliance and Quality Requirements
  • Prefer experience with, but must be capable of learning to prepare and review domestic and export documentation including but not limited to Letters of Credit, Shipping Letter of Instruction, commercial invoices, Certificates of Origin and packing lists
  • Prepare and communicate freight quotes with different levels of the organization and customers
  • Coordinate with the customer’s freight forwarder on shipment pickup
  • Provide weights, carton count, skid count, and dimensions on orders
  • Prepare bills of lading; check items to be shipped against work orders to ascertain that quantities, destination, and routing are correct
  • Book collection of freight with customers, 3PL Companies, and Freight Carriers
  • Manage and report physical inventory on shipping floor
  • Manage the storage and retrieval of records from offsite records storage, Iron Mountain
  • Inspect shipments for damages or defects; record discrepancies or damages and notify supervisor and/or purchasing personnel
  • When necessary, investigate and determine why shipment was returned. Establish process to improve future shipments to reduce/eliminate returns
  • Manage claims that are filed against carriers to recover value of shipment
  • Trace lost shipments and/or customer claims of lost shipments; initiate and provide proof of delivery documents
  • Maintain various files and records – both computerized and hard copy files
  • Work with Corporate Logistics Commodity Manager, India, China and Carriers to merge or consolidate shipments
  • Coordinate with internal departments to ensure shipments are consistent with customer requirements
  • Prepare shipping paperwork and complete shipping transactions in appropriate systems 
  • Proactively resolve and escalate delivery issues to appropriate management and associates
  • Ensure EEI filing is completed in timely manner
  • Manage Third Party Forwarder Shipping procedures
  • Watch for red flags and coordinate with Import/Export Compliance Specialist on ensuring proper due diligence is exercised for export shipments
  • Accountable for management of export and import record keeping program
  • Flexibility to perform others duties as business needs dictate

Job Requirements

Knowledge Skills & Abilities

  • Associate’s or equivalent college degree
  • Fork Lift certified (sit-down; reach truck; power/manual pallet jack)
  • Proficient in MS Office Suite, UPS WorldShip & FEDEX Ship Manager Software and a good working knowledge of ERP Systems (Preferably IFS & SAP) and processes
  • Knowledge of International Import/Export Trade Compliance
  • Have a working knowledge of lean principles (kaizen, visual management, RCCM…)
  • Effective under pressure and a logical/analytical thinker with high level of attention to detail
  • Ability to work with different parties to lead problem resolution
  • Strong desire to please the customer and at times solve sometimes complex problems; willing to escalate and find a solution when one is not obvious
  • Tenacious character, ability to recover situations that require a “can do mindset”
  • Must be able to drive a forklift on occasion
  • Assists with inventory spot counts and all forms of inventory control

Education & Experience

  • Associate’s or equivalent college degree
  • 5-7 years in Logistics & Trade Compliance with multinational company
  • Proficient with International Import/Export Trade Compliance
