POSITION DETAILS

Position Summary

The Receptionist/Administrative Assistant is responsible for monitoring entry to office, answering calls, providing information to the public, assisting visitors, and providing general clerical and administrative support.

Principal Activities

  • Monitoring the reception area of the office.
  • Answer phone calls to the main number and direct them accordingly.
  • Schedules and organizes activities such as meetings, and travel.
  • Establishes, develops, maintains and updates filing system
  • Inventory and order supplies for the office.
  • Monitor and maintain the common areas as well as the conference rooms.
  • Organizes and prioritizes large volumes of information and calls
  • Sorts and distributes mail. Opens mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  • Provide administrative support to the department. 

Job Requirements

CANDIDATE REQUIREMENTS

Knowledge, Skills & Abilities

  • Proficiency with MS Office suite (Excel, Outlook, Word, and Power Point specifically)
  • Professional communication skills
  • Excellent verbal communication skills
  • Strong organizational skills
  • Must be able to work in a fast-paced environment
  • Ability to operate computer, fax machine, calculator, copy machine and scanner
  • Ability to multi-task
  • Detail oriented 

Education & Experience

  • High School Diploma or GED
  • Associate's Degree preferred.
  • Two years previous receptionist/administrative assistant or clerical experience.
