Position Summary

This role will provide administrative support to the Payroll team. The role will evolve and expand as the business needs change and grow.  Payroll is processed on a weekly (Union) and bi-weekly schedule dependent on the pay group.  The Payroll Administrator will be responsible for entering information into the payroll database and making any employee changes as it relates to deductions, garnishments, reimbursements, etc. This position will impact a rapidly growing organization and offers career development opportunities for the right candidate.  Responsible for providing enterprise-wide payroll support for all employees.  Works to achieve accurate, complete and timely support of payroll process and fulfills other human resources and payroll administrative workflow and special projects. 

Principal Activities

  1. Processing of weekly and bi-weekly multi-state payrolls for multiple company codes consistent with federal and state wage and hour laws.
  2. Batch and input employee pay data each pay period that is not received via integration files. Working with HR, ensure employee time is accurately collected and recorded through use of the approved systems.
  3. Audit changes entered by site HR personnel for accuracy and compliance with Federal, State and Local laws as well as Colfax policy. Ensure documentation is provided.
  4. Work in collaboration with AON (third-party benefit administrator) to set up and administer benefit deductions in ADP Workforce Now.
  5. Assist with setting up and the processing of Open Enrollment benefit deductions.
  6. Respond to and process requests for payroll information, employment verifications, wage garnishments, and custom reports in accordance with state and federal laws.
  7. Promptly respond to questions and assist facility personnel with payroll matters. Provide technical, operations, and training support to HR users of ADP through documentation of processes and delivering end user training in an understandable context for all levels of users; communicate changes and enhancements as required.
  8. Assist in ensuring systems are set up and updated to reflect our current employee base, including wages, benefits, PTO, and incentive plans.
  9. Prepare standard and complex reports using the ADP and Workday systems.
  10. Assist to perform internal and external system audits to ensure data integrity and efficient processing of HR and Payroll data.
  11. Update and maintain SOX process controls.
  12. Review and respond to SSAE 16 and SOC-1 reports for SOX compliance.
  13. Transfer backup payroll data to .pdf files for each payroll.
  14. Manage data loads requests by performing data scrubbing before data loads and data validation after its completion.
  15. Work in collaboration with Human Resources staff to ensure leave events are designated and tracked in accordance with required state and federal laws.
  16. Work cohesively with HR to ensure FMLA is accurately tracked in the payroll system.
  17. Keep apprised of federal, state, and local payroll laws and regulations in order to ensure compliance.
  18. Develop techniques for compiling, preparing and presenting data.
  19. Provide information to employees about their compensation as needed.
  20. Work successfully as part of a team and responsible for developing then maintaining strong working relationships with co-workers.
  21. Attend and participate in staff meetings and training as required.
  22. Perform special assignments, projects, and other duties as required

Working knowledge of employment laws to include but not limited to record retention, Title


Experience with ADP payroll and other functions of ADP preferred.

Working knowledge of benefits programs and administration.

Knowledge of disability management preferred.

Education & Experience

Minimum of Bachelor’s degree or equivalent work experience in finance, human resources,

business, or related field.

1-3 years of payroll and/or administrative experience including HR and customer service.
