Position Summary

The administrative assistant/receptionist performs a variety of administrative and front desk duties. Courteously greets vendors, internal and external customers, job applicants, and other visitors. Displays an exceptional customer service attitude and professionalism through appearance and communication.

In addition to all receptionist duties, this role will provide full administrative support to several key senior executives.  The individual must be comfortable working in a fast-paced environment, showing minimal frustration, while balancing changing priorities. Requires the flexibility to support peak work demands on an “as needed” basis.


Principal Activities

  • Provide total administrative support services to assigned executives and members of the corporate team. Responsibilities include telephone and contact support, extensive calendar management, complex domestic/international travel planning and scheduling, and timely compiling and processing of electronic expense reports.
  • Performs general administrative duties, including filing, maintaining office/kitchen supplies, faxing, internet orders, processing invoices, and distributing department mail.
  • Answers incoming calls and accommodates customer needs by connecting/referring to the appropriate party.
  • Screen guests, register guests upon arrival, and provide proper visitor badges.
  • Meets and greets all visitors in a courteous and timely fashion.
  • Manage facilities within the office.
  • Manage FedEx/UPS Shipping and receiving, and distribution to the appropriate parties.
  • Assist, as needed, with on and offsite meetings including scheduling, catering, logistics, etc.
  • Assist with candidate travel and lodging, schedules, onboarding.
  • Assist with international employee lodging and ground transportation.
  • Assist Human Resources with in-office social events.
  • Process and track visas for international travel for executives.
  • Assist with scheduling conference rooms.
  • Maintain orderly common areas and conference rooms.
  • Other duties as needed and assigned.

Job Requirements


Knowledge Skills & Abilities

  • Must possess excellent verbal and written communication skills. Able to communicate clearly and concisely in a variety of communication styles and settings.
  • Must be able to work in a fast-paced environment and balance changing priorities while maintaining a high level of professionalism.
  • The preferred candidate will be approachable and possess the ability to interact respectably with all levels inside and outside of the organization.
  • Able to handle and maintain sensitive information with appropriate levels of confidentiality.
  • Proficient with the Microsoft Office Suite (Outlook/Excel/Word/Powerpoint) and Adobe Acrobat.

Education & Experience

  • Minimum of 3 years-experience working in a corporate environment providing administrative support to executives.
  • Associates degree or equivalent from a two-year college or technical school preferred.
