BUSINESS: Refinery Valves – TapcoEnpro and DeltaValve

LOCATION: Channelview, TX

POSITION DETAILS

 

Position Summary

Under minimal supervision, the Field Service Coordinator provides analytical and specialized administrative support to the Manager, Administrative Services & Aftermarket and Field Services teams. Position requires superior administrative and organizational skills, a thorough knowledge of practices and procedures of the Aftermarket and Field Services team and company policy and procedures. May provide support to multiple leaders or teams.

 

Principal Activities

  • Enter new purchase orders (POs) into Syteline (ERP System), Adaptive (Accounting System), and Microsoft Customer Relations Management (CRM) Manage the new booking process, ensure booking package is complete
  • Reconcile Adaptive and CRM on a weekly basis for bookings and shipment revenue
  • Maintain job files: provides updates to customers and salesmen as well as accounting
  • Communicates order specific information to employees to ensure the PO requirements are maintained
  • Acknowledge orders to customers and advises customer of any changes to the order
  • Support and coordinate activities with all aspects of safety/training requirements for site access to perform field services work. Includes site specific training, safety training, drug and alcohol testing and required background services. This work will be done thru multiple online resources.
  • Arrange travel for both domestic and international travel including airfare, lodging and car rentals using Concur Solutions. Obtain visa’s needed for international field service travel. Maintain all required EH&S (Environmental, Health and Safety) associated records required for domestic and international field service personnel travel.
  • Monitor and maintain daily entry of field service time keeping into Syteline and Factory Track Software. Process per diem and shift differential reports every two weeks for payroll processing. Submit weekly time to contractor work providers for weekly invoicing.
  • Prepare requisitions as needed for contract labor to support field service work, submit for approval and processing by HR and payroll.
  • Generate Time and Material billing in accordance with customer orders and submit to accounting for processing
  • Review and process AP invoices related to field service and service orders, enter into Syteline (ERP System), approve for payment and submit to accounting.
  • Analyze problems and support the team in carrying out the resolution
  • Ensure projects timelines are maintained
  • Perform clerical duties which may include filing, light typing, data entry, operating office machines (copy, scan, fax)
  • Perform other job-related duties as assigned by management

Knowledge, Skills & Abilities

  • Strong working knowledge of office and accounting principles, to include typing, filing, data entry, internal system software (i.e. Microsoft Office, CRM, Adaptive, Cloud Suite Industrial (Syteline ERP system), etc.)
  • Good customer service, analytical, reasoning, and independent thinking skills
  • Good verbal and written communication skills
  • Sound ability to work with and individuals at all levels of an organization, both internal and external
  • Able to work in a proactive, organized, and independent manner
  • Timekeeping experience preferred

Education & Experience

  • Requires high school diploma or equivalent and 5+ years’ related experience
  • Experience with various databases and software, strong competency with Microsoft Office products
